Depending on how you use the service, we may process:

• Account details, including your email address, authentication identifiers and subscription entitlement.
• Business and billing details, including your trading name, address, contact details, bank-payment instructions, VAT number, vehicles and rates.
• Delivery and client records, including addresses, postcodes, contact details, package information, delivery notes and references.
• Proof-of-delivery information, including recipient names, signatures, photographs, timestamps and delivery-attempt evidence.
• Location, route, mileage and device permission information when you choose to use location-enabled features.
• Invoices, payment status, expenses, receipt photographs and verified receipt details, shift summaries, mileage calculations and accounting-sync status.
• Eligible repeated phrases, their field and client context, frequency and last-use date when Smart Suggestions is enabled.
• Encrypted connection tokens and provider identifiers when you connect QuickBooks, Xero, FreeAgent or another supported service.
• Technical information needed for security, diagnostics, offline synchronization and service reliability.

Receipt text is read on your device before you review it. After confirmation, the receipt and verified details are stored in your private workspace and submitted to your chosen accounting provider when connected.

The app does not ask you to provide your QuickBooks, Xero, FreeAgent, Apple or online-banking password.

• To create and secure your account and restore your workspace across devices.
• To build routes, record deliveries, generate proof-of-delivery documents and manage invoices and expenses.
• To send records to services you deliberately connect, such as QuickBooks, Xero or FreeAgent.
• To support offline working, prevent duplicate submissions and investigate failed synchronization.
• To meet tax, accounting, fraud-prevention and other legal obligations.
• To protect the service, users, clients and recipients from misuse or security threats.

Under UK data-protection law, we rely on performance of our contract with you, legitimate interests in operating and securing a delivery-management service, compliance with legal obligations, and consent where the law requires it.

iOS and your browser ask separately for camera, photo and location permission. You can refuse or withdraw those permissions in device settings, although related features may then be unavailable.

When enabled, Smart Suggestions learns only from eligible repeated delivery notes, failed-attempt notes and receipt supplier names in your account. It ranks entries using frequency, recency and the relevant client context. It does not use a third-party generative-AI service and never inserts text unless you select it.

Emails, bank details, passwords, signatures and POD images are excluded. Learned entries are stored inside your user-specific synced workspace and are not used to provide suggestions to another subscriber. You can disable learning, forget an individual suggestion or reset all learned suggestions from the Settings screen.

Drivers may enter information about clients, recipients and delivery locations. You must have a lawful reason to collect and upload that information, provide any notices required for your own business, and avoid entering information that is unnecessary for the delivery or your legal records.

We use specialist providers only where needed to operate the service. These may include Supabase for authentication, databases, server functions and file storage; a commercially permitted static host for public legal and support pages; Intuit QuickBooks, Xero or FreeAgent for connected accounting; email-delivery providers; mapping, postcode and route services; and Apple for App Store distribution and purchases.

Connected providers process information under their own privacy terms. We may also disclose information where required by law, to protect legal rights, or as part of a properly managed business transfer.

Some providers may process information outside the United Kingdom. Where UK data-protection law requires safeguards, we rely on recognised adequacy arrangements, contractual protections or another lawful transfer mechanism provided by the relevant processor.

We use access controls, user-specific database policies, encrypted connections and server-side protection for integration credentials. No internet service can guarantee absolute security, so you should protect your device and use a unique account password.

Operational data is normally retained while your account remains active. You can delete individual records where the app provides that option or permanently delete your account from the Settings screen. Deletion removes the authentication account and associated active cloud workspace, connection credentials and user-scoped files. Limited records may be retained where required for tax, legal claims, fraud prevention or processor backup cycles, and records already sent to a third-party provider must be managed with that provider.

You may have rights to access, correct, erase, restrict or object to processing, and to receive portable data. You may also withdraw consent where consent is the lawful basis.

Owner Driver is a business tool for adults and is not intended for children under 18.

We may update this policy when the service, providers or legal requirements change. The current version and effective date will remain available at this page.
